The Complete BC Wedding
Vendor Checklist for 2026

Every vendor you need to book for your British Columbia wedding — organized by timeline so nothing slips through the cracks.

Planning a wedding in British Columbia means coordinating with a lot of vendors — and knowing when to book each one is just as important as choosing the right people. Whether you're getting married in a Vancouver ballroom, a Kelowna vineyard, or a Whistler lodge, this BC wedding vendor checklist breaks everything down by timeline so you can stay on track from engagement to the big day.

12+ Months Before the Wedding

This is the foundation phase. The vendors you book now will shape every decision that follows.

Wedding Planner / Coordinator
If you're hiring a planner, do it first. They'll help you navigate every vendor decision from here on out and often have preferred supplier lists specific to your BC venue.

Venue
Popular BC wedding venues — especially waterfront properties in Vancouver, estate venues in the Fraser Valley, and winery locations in the Okanagan — book 12 to 18 months out. Secure your date before anything else.

Caterer
Many BC venues have in-house catering or a preferred list. If yours allows outside catering, book early — peak season (June through September) fills up fast.

Photographer
Top BC wedding photographers are often booked a year or more in advance. Review portfolios carefully — you'll live with these photos forever.

9–12 Months Before

With the big pieces locked in, start building out the rest of your vendor team.

Videographer
If you want a wedding film, book your videographer at the same time as your photographer or shortly after. Many couples regret skipping video — it captures what photos can't.

Florist
Florals set the mood for your entire wedding. Share your colour palette and Pinterest boards early so your florist can source seasonal blooms that work with BC growing seasons.

DJ or Band
Good DJs and live bands in the Vancouver area book up quickly for summer weekends. Listen to mixes or watch live sets before committing, and confirm they can handle your venue's sound requirements.

Officiant
Whether you're going with a licensed BC Marriage Commissioner or a religious officiant, reach out early to ensure availability on your date.

Wedding Dress / Suits
Custom or designer dresses can take 6 to 9 months to arrive, plus time for alterations. Start shopping now. Suits are faster but still benefit from early ordering, especially for custom tailoring.

6–9 Months Before

Cake / Dessert
Book your baker and schedule a tasting. BC couples are increasingly choosing dessert tables or donut walls alongside (or instead of) a traditional cake.

Hair & Makeup
Schedule a trial run 2 to 3 months before the wedding, but book your artist now. Ask how many people they can accommodate (bridesmaids, mothers) and confirm travel fees if your venue is outside Metro Vancouver.

Stationery / Invitations
Design and order invitations so they go out 8 to 10 weeks before the wedding. If you're doing save-the-dates, those should have already gone out by now.

Transportation
If you need a limo, vintage car, or shuttle between ceremony and reception, book it in this window. Summer weekends in Vancouver have high demand for wedding transportation.

3–6 Months Before

Decor & Rentals
Finalize your decor plan — linens, centrepieces, arches, signage, lighting. If you're renting furniture or decor items, confirm availability and delivery logistics with your venue.

Photo Booth
Photo booths are a crowd favourite at BC weddings. Book one with props and a custom photo strip design that matches your wedding theme.

Statement Lighting
Uplighting, string lights, or custom gobos can completely transform a venue. Talk to your DJ or a dedicated lighting vendor about what works in your space.

1–3 Months Before

Floor Wrap
A personalized dance floor wrap is one of the most photographed details at any wedding — it shows up in every first-dance photo and overhead video shot. At LuxeWraps, we recommend booking your floor wrap 3 to 4 weeks before your wedding date. We handle design, printing, delivery, and professional installation at your venue anywhere in BC. Classic wraps start at $597.

Welcome Board
A custom welcome board greets guests as they arrive and sets the tone for the evening. Like floor wraps, these can be booked 3 to 4 weeks out through LuxeWraps and are delivered ready to display.

Cold Sparks & Fog Effects
For a dramatic grand entrance or first dance, cold spark fountains and dry ice fog create a jaw-dropping moment. LuxeWraps offers a combo package starting at $850 that bundles these effects with your floor wrap — one vendor, no coordination headaches.

Day-of Stationery
Programs, place cards, menus, and table numbers. These are quick to produce but easy to forget — get them ordered at least 3 weeks out.

The Final Month

Confirm Every Vendor
Reach out to every vendor on this list to reconfirm dates, arrival times, setup requirements, and final headcounts. Create a master contact sheet with names and phone numbers for your planner or day-of coordinator.

Final Dress Fitting
Schedule your last fitting 2 to 3 weeks before the wedding, after any last-minute weight changes.

Tips & Final Payments
Prepare envelopes with final payments and tips for vendors who are paid on the wedding day. Assign someone (your planner, best man, or maid of honour) to handle distribution so you don't have to think about it.

Quick-Reference Vendor Timeline

  • 12+ months: Planner, venue, caterer, photographer
  • 9–12 months: Videographer, florist, DJ/band, officiant, dress/suits
  • 6–9 months: Cake, hair & makeup, invitations, transportation
  • 3–6 months: Decor & rentals, photo booth, lighting
  • 1–3 months: Floor wrap, welcome board, cold sparks & fog, day-of stationery
  • Final month: Confirm all vendors, final fitting, prepare payments & tips

Every BC wedding is different, and you may not need every vendor on this list. But having a clear timeline means you'll never be scrambling at the last minute — and the vendors you do choose will have plenty of time to deliver their best work for your day.
